This Privacy Policy describes how Connectnext Technologies India (OPC) Private Limited ("Connectnext", "we", "our") collects, uses, and protects your information when you access or use KnowledgeAssist ("Service"). To operate the Service, Connectnext may engage third-party service providers such as hosting providers and payment processors, as described in Section 4. Connectnext acts as a data controller in respect of account registration and usage data, and as a data processor in respect of documents and content added to Knowledge Bases on your Domain Account. By using the Service, you agree to the practices described herein.

1. Information We Collect

a. User-Provided Information

Information you submit while using the Service, including account registration data (email, organization name, company website), and documents added to knowledge bases on your Domain Account.

b. Billing and Payment Information

For paid plan subscribers, our third-party payment processor collects information necessary to manage your subscription, including your email address, phone number, and payment details such as card information. This information is used to process payments, generate invoices, and manage subscription renewals. Connectnext does not store payment card details on its own systems. The payment processor's privacy policy governs the handling of this information.

c. Automatically Collected Information

Domain Account (Application): Within your Domain Account, we collect usage data solely in the context of operating the Service. This includes session information (login and logout times, session duration), IP address and device identifiers used to ensure session uniqueness and security, and feature usage data used to provide accurate analytics and reporting within your account. All data generated within your Domain Account is retained within Connectnext-hosted services and is not shared with any third party except as described in this Privacy Policy.

Marketing Website (connectnext.ai): When you have opted in, we collect aggregated and anonymised (non-identifiable) visitor behaviour data using third-party analytics tools to understand how our content is used and to improve the website experience. Analytics data does not include any personal information.

d. Cookies

Domain Account (Application): We use session cookies strictly for authentication and to maintain your logged-in state. No third-party analytics cookies are set within your Domain Account.

Marketing Website (connectnext.ai): Analytics cookies are only set after you have explicitly opted in via the cookie consent prompt on the website. If you have previously opted in, you may withdraw your consent at any time using the Cookie Settings option on the website. No analytics cookies are set if you have not opted in or have withdrawn your consent.

2. How We Use Information

  • To provide and maintain the Service, including indexing and retrieving uploaded documents.
  • To track your subscription status as managed by our payment processor, provide access to past invoices, and facilitate subscription update requests.
  • To communicate with you regarding your subscription, service updates, and support requests through administrative and user notification emails.
  • To improve Service functionality, analyze usage, and detect abuse.

AI Processing

Connectnext uses AI and machine learning models to power features within your Domain Account. Your data is used solely to provide and improve the features available to you within your own Domain Account. Customer data is not shared with third-party AI providers, nor is it used to train or improve models in ways that benefit other customers. Where future Service features require processing by third-party AI providers, such features will be made available on an explicit opt-in basis and will be clearly identified at the time of use.

3. Data Hosting & Transfers

All data uploaded to the Service is stored and processed on servers located in the United States (AWS). By using the Service, you consent to the transfer, storage, and processing of your information in the United States.

Billing and payment data is processed by our third-party payment processor, which may store and process data in accordance with its own privacy policy and applicable data protection laws.

4. Sharing of Information

  • With our payment processor, solely for the purpose of processing your subscription payments. Only the information necessary to complete the transaction is shared.
  • When required by law or legal process.
  • We do not sell or trade your personal information to third parties.

5. Data Retention

We retain personal data and documents added to Knowledge Bases on your Domain Account for as long as your account is active or as necessary to provide the Service.

For paid plan subscribers, we retain billing and transaction records for a minimum of seven (7) years as required for accounting, tax, and legal compliance purposes, even after account closure.

Upon account cancellation or termination, all data within your Domain Account will be permanently purged within thirty (30) days.

6. User Rights

For enquiries about the personal data Connectnext holds in relation to your account or subscription, please contact us at support@connectnext.ai. We will respond in accordance with applicable law.

7. Security

We implement reasonable technical and organizational measures to protect your information, including encryption in transit and at rest. While we strive to protect your data, we cannot guarantee absolute security.

Payment transactions are processed exclusively through our third-party payment processor using industry-standard security measures including PCI-DSS compliance.

8. Eligibility

You must be of legal age and have the legal capacity to enter into a binding agreement under applicable law to use the Service.

9. Changes to This Privacy Policy

Connectnext may update this Privacy Policy from time to time. Changes will be posted with an updated “Effective Date.” For material changes — including changes to how we handle billing data — Administrators will be notified via email and/or through a notice displayed within the Service prior to the change taking effect. Continued use of the Service constitutes acceptance of the updated policy.
